Condominium Management Group (CMG) respects your privacy and is committed to protecting the personal information of the condominium owners, boards, tenants, and other visitors we interact with through this website. This Privacy Policy explains what information we collect, how we use it, who we share it with, and the choices available to you. It applies to condogroup.ca and all forms, pages, and services hosted on this site.

This policy reflects our current practices and applicable Canadian privacy law, including the Personal Information Protection and Electronic Documents Act (PIPEDA). By using this website or submitting information through it, you agree to the collection and use of information as described here.

Information We Collect

We collect information in three ways: information you provide directly, information collected automatically, and information collected through payment processing.

Information you provide: name, email address, phone number, mailing address, condominium corporation and unit number, and any other details you enter when submitting a form (such as our Contact, Request for Proposal, or Status Certificate Request forms), including any files you choose to upload.
Information collected automatically: IP address, browser type and version, device and operating system information, referring page, and general usage data (such as pages visited and time on site), collected for analytics, performance monitoring, and security purposes.
Payment information: if you pay a fee through this website (for example, a status certificate fee), your payment is processed directly by Stripe, our third-party payment processor. We do not collect or store your full credit card number — we receive confirmation that payment was completed, along with the amount and the order details you provided.

How We Use Your Information

We use the information we collect to:

Respond to inquiries submitted through our Contact, Request for Proposal, and Status Certificate Request forms;
Process and deliver status certificates and confirm associated payments;
Verify that form submissions are made by a human and not automated software;
Communicate with condominium corporations, boards, owners, and prospective clients about our services;
Send administrative or service-related communications, and, where you have agreed to receive them, newsletters or other mailing-list communications;
Analyze site traffic and usage to improve the performance, security, and content of this website;
Comply with legal, regulatory, or contractual obligations, including obligations under the Condominium Act, 1998 (Ontario).

This website may use cookies and similar technologies to keep the site secure, remember your preferences, and understand how visitors use our site. Most browsers let you refuse or delete cookies through their settings; doing so may affect how parts of this site function.

Third-Party Service Providers

We work with the following third-party providers to operate this website. Each provider processes personal information under its own privacy policy and, where applicable, as our service provider under a written agreement:

Resend — delivers the email notifications generated when you submit a form on this site.

Mailing Lists and Communications

From time to time, we may maintain a mailing list to share updates, newsletters, or information relevant to the condominium owners and boards we work with. We will only add you to a mailing list with your consent, or where otherwise permitted by law — for example, because you are an existing client or requested information from us. Every marketing communication we send includes a way to unsubscribe, and you may also contact us directly at any time to be removed.

Data Retention

We retain personal information only for as long as necessary to respond to your inquiry or complete your request. Where a form collects property-specific details — such as a unit number or parking/locker information as part of a status certificate request — that information is used to prepare and deliver your certificate and is not kept for any purpose beyond completing your request and meeting any legal or record-keeping obligations that may apply. When information is no longer needed, we take reasonable steps to securely delete it.

How We Protect Your Information

We use reasonable administrative, technical, and physical safeguards to protect personal information against loss, misuse, and unauthorized access, including encrypted transmission (HTTPS) and access controls on the systems that process form submissions and payments. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Your Rights and Choices

Depending on your province of residence, you may have the right to:

Request access to the personal information we hold about you;
Request that we correct inaccurate or incomplete information;
Request that we delete personal information, subject to our legal and record-keeping obligations;
Withdraw consent to marketing communications or mailing lists at any time;
Ask questions about how your information is collected, used, or shared.
